Out-of-office reply to a cold email: what to do next

An out-of-office is not a reply, but it is not nothing either. It tells you when to write again, and sometimes who else to write to.

Short answer

Pause that person's follow-ups until the return date in the message, then carry on where you left off. Do not count it as a reply and do not answer it. If it names a colleague, you may write to them, but say that the out-of-office mentioned them, and tell them where you got their address [1] in that first email [2].

Why you should not reply to it

Nobody reads an answer to an out-of-office, and some autoresponders answer back, which starts a loop of automatic messages in a thread you want to keep clean. The return date is the useful part.

When they come back

People returning from leave face a full inbox. Do not send the follow-up on the morning they return; give it a day or two. Then send the next step of the sequence as planned, not a new "just checking in" email.

The colleague named in the message

"For urgent matters, contact Sam at sam@practice.example" is an instruction for urgent matters, not a referral. If your email is not urgent, the honest choice is to wait. If you do write to Sam, say "your colleague's out-of-office message mentioned you", never "Maria suggested I write". Sam did not give you the address, so tell Sam where it came from [1], at the latest in that first email [2]. See writing to a colleague for a sample.
